- Process payroll tax duties including payroll runs, report review, filing support, payments, and general compliance
- Research and resolve routine State and Federal payroll tax notices, escalating complex situations to senior staff
- Draft written responses to agency communications with supporting documents and meet required deadlines
- Prepare amended payroll tax returns (Form 941-X and state equivalents) with guidance for advanced adjustments
- Assist in payroll corrections: document errors, help calculate tax impacts, and keep accurate audit records
- Manage personal queue: set priorities by SLA, track work to avoid missed deadlines, and provide thorough case notes
- Identify trends or recurring problems in tasks and report insights to senior team members for possible process improvements
- Aid with updating team documentation, noting outdated procedures or knowledge articles and suggesting changes
- Collaborate across departments as needed Qualifications
- High school diploma or equivalent
- Minimum 6 months experience in customer service
- Must be at least 18 years of age
- Ability to type at least 25 words per minute
- Comfortable with desktop computer use and familiarity with Windows systems
- Customer service or sales experience preferred
- College education preferred, not mandatory
- At least 2 years of back-office payroll experience at a payroll services provider
- At least 2 years of experience handling high-volume, multi-state US payroll tax processing
- At least 2 years specializing in tax notice resolution, preparing amended returns, and payroll error corrections
- Proven background in resolving complex IRS and state agency notices
- Experience preparing and approving Federal and State amended returns, including complicated local returns
- Comfortable using AI tools in daily workflows
- Experience independently managing escalations and performing root cause analysis
- Proven record as a "Change Champion," peer mentor, or high performer for productivity and quality
- Advanced communication skills for breaking down technical information into clear instructions
- Fundamental Payroll Certification (FPC) required
- Analytical with a "validation-first" mindset and willingness to adopt new approaches
