Rytech of Orlando is looking for an organized, detail-driven Project Coordinator to keep our mitigation department running clean across the Central Florida market. This is an in-office role for someone who knows insurance program work, can keep a full WIP of water and mold jobs moving, and makes sure every file is documented, compliant, and ready for the adjuster. If you can answer an emergency call with confidence, spot a missing moisture reading before the carrier does, and keep customers informed from first call to closeout, we want to talk to you.
Run the mitigation WIP by status and phase, keeping every active job moving and nothing stalled.
Track program files against carrier and TPA guidelines and flag SLA deadlines before they are missed.
Review job files in DASH and Mitigate for complete moisture logs, psychrometric readings, sketches, moisture maps, equipment, photos, and tech notes.
Label and organize photos and documentation so every file tells a clear story an adjuster can approve.
Answer business-hour emergency and inquiry calls, qualify the loss, and capture complete intake data for dispatch.
Coordinate field and customer appointments with the Mitigation Supervisor.
Make daily touch points with property owners on active jobs and resolve administrative issues quickly.
Pull status reports every two days to catch documentation gaps and at-risk files.
Send a daily end-of-day update to the Mitigation Manager and Supervisor and keep the weekly WIP current in DASH and Mitigate.
Assemble complete, compliant billing packages, including signed authorizations and certificates of completion and satisfaction.
Deliver a customer experience that reflects well on Rytech of Orlando from first call to final paperwork.
Working knowledge of insurance program work and TPA rules and metrics.
Strong organizational skills and the ability to track many jobs at once without losing detail.
A professional phone presence and the ability to stay calm and empathetic with property owners in the middle of a loss.
Comfort running reports and acting on what they show.
Software competent, comfortable learning and working in job management and documentation platforms.
Self-motivated and able to prioritize across competing deadlines and unpredictable emergency volume.
Strong customer service instincts and the ability to stay level-headed under pressure.
Integrity, honesty, and a team-first approach: you support the field, you don't police it.
2+ years of administrative or operations experience in restoration, construction, or property insurance claims.
Experience with insurance program and TPA work, such as Alacrity or HOMEE.
Familiarity with DASH and Mitigate strongly preferred.
Working knowledge of water mitigation documentation (moisture logs, psychrometrics, drying records) preferred.
Familiarity with Xactimate a plus
